Changing the properties of items on the Clipboard

You can change the property values of items on the Clipboard in one operation. This is faster than changing the properties of the items one at a time.

Note    You must change the properties for only one object type at a time, either documents or folders. Both types cannot be changed in the same operation.

Note    Changing folder properties does not affect sub-folders.

Note    Changing items in this way increments the revision number of each document. The changes are also recorded in each item's change history.

To change the properties of items on the Clipboard:

  1. Add the items to the Clipboard that you want to change as described in Adding items to the Clipboard.
  2. View the items on the Clipboard as described in Viewing the Clipboard contents.
  3. Confirm that you want to change the properties of all of the items on the Clipboard. If not, remote the items that you do not want to change as described in Clearing the Clipboard. The page refreshes to show that the selected items have been removed.
  4. In the Mass Operations section header, click Edit fields. A page appears that lists the properties that are common to all of the items and the items that will be changed.
  5. Select an optional mapping template from the Excel Export Mapping to use list to initialize the properties with pre-defined values in an Excel spreadsheet.
  6. To change the properties of all of the items to the same value:
  1. For each property that you want to change, select an option from list, enter a value in the text box, or select a date by clicking Date. To empty a property, empty its text box and select the checkbox next to the property name.

To change the properties of all of the items to different values:

  1. Click Tabular view. A page appears that lists each item and the current value of each available property.

Note    Properties for which the Update operation option of the mapping template is set to Match with are not editable and are shown with a grey background. Properties that are set to Edit value in the mapping template are editable. Properties that are set to Skip are not listed. Properties that are not specified in the mapping template appear empty even if they contain a value. If these properties are left empty, the current value will be retained.

  1. For each property that you want to change, select an option from list, enter a value in the text box, or select a date by clicking Date.
  1. Click Preview edited fields. A page appears that lists the items and shows the values that will be changed in red text.
  2. Confirm that you want to make the changes shown. If not, click Edit fields to return to the previous page to modify the changes.
  3. Click Confirm edited fields. The page refreshes to show that the changes that were made.
  4. Click View clipboard to return to the Clipboard or click Change statuses to change the status of the same items as described in Changing the status of documents on the Clipboard.
